A Multi-Outlet Inventory System for a Growing QSR Chain

The challenge

Each outlet was managing inventory counts and supplier ordering independently, with no visibility at the head-office level into stock levels, wastage, or which outlets were over- or under-ordering relative to actual sales. Stockouts on popular items were happening at some outlets while others were over-ordering the same ingredients.

Our approach

We built a central inventory and ordering system where outlet managers log stock counts against a shared ingredient database, with automatic reorder suggestions based on each outlet's recent sales velocity. Head office gained a live dashboard across all 9 outlets to spot wastage patterns and rebalance supplier orders before stockouts happened.

Outcomes
  • Reduced ingredient wastage by 21% across the outlet network in the first quarter
  • Cut stockout incidents on top-selling items by 45%
  • Centralized ordering reduced head-office reconciliation work by an estimated 5 hours/week
